Cancellation Policy for Hotel Reservation Only

We understand that sometimes, even with the best of intentions, the best laid plans go awry. However from the time that you make your booking your reservations are held for you. We ask you to please understand that, should you cancel your hotel reservations, you may be charged a cancellation fee.

This is not applicable on certain blackout dates due to high season / festivals and major events being organized in the city.

Cancellation fees are as follows:
  • Cancellations received after the payment was done and hotel confirmations will incur a cancellation fee of 10% of full hotel cost as administration fee plus credit card charges if applicable.

  • Cancellations received from booking until up to 30 days prior to check in will incur a cancellation fee of 15% of full cost.

  • Cancellations received between 14 & 29 days prior to tour check in will incur a cancellation fee of 25% of full cost.

  • Cancellations received between 13 & 4 days prior to tour check in will incur a cancellation fee of 50% of full cost.

  • Cancellations received within 3 days prior to tour arrival will incur a full cost of reservations as cancellation fee.

Please also note that failure to arrive will incur a full cost of reservations and refunds will not be given for any day after the date of arrival has passed. The credit card charges (transaction fee) if applicable will be deducted in all the refunds.

However, cancellation terms may vary according to the type of rate, which you have booked. Where a cancellation is not made in accordance with our applicable cancellation terms, we reserve the right to charge you the cancellation as levied by the individual hotel. Whilst every effort is made to fulfill any particular requests which you may have in relation to your bookings with us, we cannot unfortunately guarantee that we will be able to meet any particular requests which you may make and our failure in this regard will not constitute a breach of contract.


In the unlikely event that we have to change or cancel your reservation, we reserve the right to do so. However, you have the right to:


  • accept the changed arrangements as notified; or

  • make alternative arrangements with VCH Corporation; or

  • cancel your reservation and receive a full refund of any monies which you have paid to VCH Corporation in respect of your reservation (please note that we shall not be liable for any sums which you have paid to any other persons in connection with your reservation).

For the avoidance of doubt, we shall have no further liability to you for any changes to or the cancellation of any booking confirmed over the phone with any of our consultant.

Refund Policy
  • Multiple times debiting of Bank Account due to technical error OR Guest's account being debited with excess amount in a single transaction due to technical error. In such cases, excess amount excluding Payment Gateway charges would be refunded to the candidate.

  • Due to technical error, payment being charged on the Bank Account but Hotel Booking is unsuccessful. if in such cases, Guest wishes to seek refund of the amount, he/she would be refunded the amount, after deduction of Payment Gateway charges.

  • In any other cases, candidate wishes to seek refund of the amount, he/she would be refunded net the amount, after deduction of Payment Gateway charges and cancellation charges as per cancellation policy.

  • The Guest will have to make an application for refund along with the transaction number and original payment receipt if any generated at the time of making payments.

  • he application will be processed manually and after verification, if the claim is found valid, the amount received in excess will be refunded through electronic mode in favour of the applicant and confirmation sent to the mailing address given in the online registration form, within a period of 7-10 calendar days on receipt of such claim.
Q. By when can I receive my refund in my account after cancellation of my booking?

All refunds are processed by the method of payment used in the initial transaction. Once you have cancelled your booking, the refund is processed by Hotvel within 10 business days (weekends not included). An e-mail confirmation of the refund amount will be sent to the email address given to us at the time of booking.

However, for the amount to reflect in your bank or credit card account is dependent on the time taken by your bank thereon. For any discrepancies and delays, kindly check directly with your bank or credit card company.

It is advisable to contact Hotvel within 48 hours of the cancellation request.

Q. I still haven't received my refund. What do I do?

Q. Where can I see my refund status?

Sign in to your Hotvel account. Go to "My Bookings". The 'Status' column will tell you if the refund has been processed.
